1. What this policy covers
This policy explains how PLUMBING HQ handles personal information when you create an account, use technical review tools, record Field Jobs, upload files or photos, create reports, use specialist agents or contact the service.
2. Information we may collect
- account information such as name, email address and user identifiers;
- plumbing job, customer, site, asset, quotation, service-report and contract information supplied by users;
- photos, documents, notes, technical readings and other evidence uploaded for analysis;
- precise device location and accuracy information captured by Field Jobs when a user starts or finishes a job;
- timestamps, duration, work notes, parts, charges and additional works associated with field activity;
- company settings, customer rates and nominated internal email addresses; and
- usage, security and diagnostic information needed to operate and protect the service.
3. Location information
Field Jobs can request the device's current location when work starts or finishes. The current workflow does not require continuous background tracking. Location captures record the device's reported position and accuracy at that time and should not be treated as independent proof that particular work was completed.
4. How information is used
Information is used to authenticate users, provide technical and field tools, save job records, generate reports, send nominated records, provide AI-assisted analysis, maintain security, administer the service and improve reliability.
5. Customer and third-party information
Users should only upload customer, worker, site or other third-party information they are authorised to use for the relevant purpose. Avoid unnecessary sensitive personal information.
6. AI and technical documents
Material submitted to AI-assisted features may be processed by platform AI services to perform the requested review or analysis. PLUMBING HQ is designed to distinguish supplied document evidence from general AI technical assessment, but users remain responsible for verifying material technical and statutory conclusions.
7. Service providers and storage
PLUMBING HQ relies on Base44 and related infrastructure providers for application hosting, authentication, storage, file handling, email and AI capabilities. Providers may process information in jurisdictions outside Australia. If subscription billing is enabled, payment processing will be handled by a payment provider and PLUMBING HQ will not intentionally store full card details.
8. Retention and deletion
Records and uploaded files may remain stored while needed to provide the service or until removed under available retention or account-deletion controls. Sending a generated record by email does not by itself guarantee deletion of the underlying platform file.
9. Security
We use the access controls and security capabilities provided by our platform providers to reduce the risk of unauthorised access, misuse or loss. No internet service can guarantee absolute security.
10. Access, correction and deletion
Users can update some account and company information in Settings and can request account deletion through the app. Privacy enquiries can also be sent to hello@plumbinghq.app. We may need to verify identity before acting on a request.
11. Changes
We may update this policy as PLUMBING HQ, its providers, features or legal requirements change. The current version and update date will be published on this page.
